Westbrooke is currently seeking to employ an experienced individual in an operations middle / back office role, who is looking for a challenging and varied position that will utilise the depth of their prior experience and knowledge base.

You will be working directly with the operations and distribution team and will be their ‘go-to’ person to ensure all investor and fund operations, and middle office tasks are running smoothly.


asset management back office

  • Managing onboarding of new clients / investors, including:
    • Management and collection of client documents and KYC
    • Capturing of new client’s information
    • Liaising with clients during the onboarding process where necessary
    • Dealing directly with clients where necessary
  • Accurately capturing all investor and investment related data
  • Consistent maintenance, and full ownership of investor and investment data
  • Accounting for transactions including investor transfers, switches and buy-backs
  • Managing and updating investor reporting systems, including:
    • Ensuring that the online investor portal is always up to date and contains accurate information
    • Ensuring the CRM system is up to date
  • Generating investor reporting on a monthly/quarterly basis (statements, dividend notices, etc.)
  • Maintaining data integrity within the systems and workbooks used by the operations team
  • Managing ad hoc projects that impact investors and investor reporting
  • Managing investor queries timeously

transaction and NAV management

  • Liaising and managing relationships with administrators
  • Assisting with the trial balance and NAV analysis reconciliation processes for multiple funds / investment products
  • Assisting fund managers with NAV reporting and reviews

board, shareholder and investor reporting

  • Preparing documentation and presentations for weekly, monthly / quarterly stakeholder meetings
  • Preparation and management of investor reporting
  • Ensuring legal documentation is collated, filed and appropriately stored


  • Supporting the fund managers and operations team on a day-to-day and project-related basis
  • Building and maintaining relationships with external counterparties including originating partners, advisors, fund custodians and administrators, data providers, etc.
  • Working with the distribution and operations team to ensure activities are prioritised and managed, and requirements are clearly documented
  • Analysing and assessing the current client onboarding, reporting, investment processes and procedures, and identify possible improvements involving the re-engineering of operational flows
  • Executing strategic change projects relating to system or process enhancements

  • A professional with 3 to 4 years of experience within fund administration, middle office / operations
  • Degree educated with a history of outstanding academic achievement
  • Self-starter, process driven, and solution-orientated
  • Strong analytical and interpersonal skills with attention to detail and a desire to learn and succeed
  • Excellent project management skills – organised with ability to multi-task
  • Work independently and make educated judgment decisions pertaining to the business
  • Ability to exercise discretion when interfacing with external parties in support of the business
  • Ability to perform in a fast-paced working environment as a team player
  • Personality that thrives in a small business with the ability to take initiative
  • An all-rounder with a record of academic and professional achievement
  • Ability to interact with clients telephonically and via email in a professional manner
  • Keen eye for detail
  • Experience and/or an interest in process automation is a bonus
